For hotels in Segovia

Your reception, even after it closes.

An assistant on your hotel's website answers your guests at any hour and in their language, using the information you give it. Anyone who wants to book reaches you with their name, dates and contact details.

Request a free assessment

Free, with no obligation. Half an hour, at your hotel or by phone.

A cobbled street in Segovia's old town at blue hour, with the arches of the aqueduct behind and the lit windows of a stone building.

Whoever writes to you at night shouldn't end up booking somewhere else.

An empty reception desk at night, with the lamp switched off, a service bell, an old key and a phone with its screen lit.

11.40 pm

Someone on your website asks whether there's parking and how late they can arrive. Reception is closed. By morning they may already have booked elsewhere.

The same question, every week

What time breakfast is, how late you can check in, whether dogs are allowed. Answering it again takes time away from everything else.

The phone and the desk

The phone rings while you're checking in a guest who has just arrived. You either answer it or look after them.

When nobody replies, guests tend to book wherever someone does: on Booking or at another hotel.

What the assistant does

It lives on your website, or on a page with your hotel's name if you don't have a website. It answers with what you've told it.

  • It answers the usual questions: opening times, parking, breakfast, pets, how to get there. Using your hotel's details, not whatever it finds online.
  • It replies in the language the guest writes in.
  • When someone wants to book or asks about prices, it gives no figures and confirms no rooms. It asks for their name, dates, number of guests and a phone number or email, and you get an email with those details.
  • Every Monday you receive a summary: the week's conversations, the booking requests and the questions it couldn't answer.

No website?

We set up a simple page with your hotel's name and the assistant built in. You can link to it from your Google listing, from Instagram or with a QR code at reception.

What it looks like

Example with a fictitious hotel
  1. Good evening. Do you have parking? We're arriving on Friday at about 11.30 pm.

  2. Good evening, I'm the hotel's virtual assistant. We have a few garage spaces, first come, first served; they can't be reserved. Reception is staffed until 11 pm; if you're arriving later, reception will tell you how to get in. If you like, I can pass your request on: I'll need your name, an email or phone number, your dates and how many of you there are.

  3. Laura, laura@example.com. 14 to 16 November, two people.

  4. Thank you, Laura. I've passed your request to reception: they'll email you with availability and the price.

Illustrative example. Real answers come from your hotel's information, which you check before it goes live.

How we start

First we check whether it's useful to you. Then, if you'd like, we try it.

  1. 1. Free assessment

We look at your website, your Google listing, your Booking listing and your reviews, and ask how enquiries reach you today. We go through it with you in half an hour, at your hotel or by phone. It's yours to keep even if we go no further.

  2. 2. We set it up with your details

You tell us what guests always ask and we load it in. Before it goes live, you read what it will say and approve it.

  3. 3. A trial

The assistant only answers with what you've approved. What it doesn't know, it doesn't make up: it passes it to you, and for those questions we draft an answer that you decide whether to add. You always reply to booking requests yourself.

  4. 4. You decide

At the end of the trial we go through the conversations and the Monday summaries together. If it's useful, we carry on for a monthly fee. If not, we take it off your website and your hotel stays as it was.

What it does and what it doesn't

We'd rather tell you before you ask.

What it does

  • It answers on your hotel's website, or on your own page if you don't have one.
  • It answers with the information you've approved.
  • It passes booking requests on to you with name, dates and contact details.
  • It sends you a summary every Monday.

What it doesn't do

  • It doesn't answer WhatsApp, emails or phone calls.
  • It doesn't connect to your booking software, your channel manager or Booking.
  • It doesn't give prices or confirm rooms.
  • It doesn't reply to reviews.

If you need any of that later on, we can talk about it. We're not promising it today.

There are two of us, and we're in Segovia

Klave Digital is Tommaso Ruzzi and Francesco Maza. We live in Segovia. There are no sales reps and no switchboard: the person who calls you is the person who sets up your assistant, and if we can see it won't help your hotel, we'll tell you.

  • Tommaso Ruzzi · Co-founder

Looks after the technical side: sets up the assistant, installs it and makes sure it complies with data protection rules.

  • Francesco Maza · Co-founder

Usually the first to talk to each hotel, to understand how it works before suggesting anything.

If you prefer, we'll come to your hotel.

Your data and the terms

The data belongs to your hotel

Conversations are deleted automatically after six months and contact details after two years. If you want shorter periods, we adjust them.

In writing, before we start

We explain what data is stored, where and for how long.

It doesn't touch your booking software

It's added to your website with one line of code and removed the same way.

How the price is set

It depends on how much information needs preparing, whether you need the page for hotels without a website, and how many enquiries your website gets. That's why we don't publish a rate: we give it to you in writing after the assessment and before the trial starts, together with how long the trial lasts.

We're looking for the first hotels in Segovia to work with this way. In return we ask one thing: if the results deserve it, permission to tell people how it went.

Frequently asked questions

How much does it cost?

It depends on what your hotel needs, which is why we start with the assessment, and that's free. Afterwards we give you the price of the trial and of the monthly fee in writing, before you decide anything.

What if the assistant says something that isn't true?

It's the most important question: whatever is said on your website is said by your hotel. That's why the assistant only answers with information you've approved, gives no prices, confirms no rooms and passes anything it doesn't know to you. We review the conversations and can show them to you whenever you like. You also get a summary every Monday.

Do I need a website?

No. If you don't have one, we set up a simple page with your hotel's name and the assistant built in, which you can link to from your Google listing or with a QR code at reception.

Do I have to change my booking software?

No. The assistant doesn't connect to your booking software or your channel manager. Nothing you already use is touched.

Which languages does it answer in?

In whichever language the guest writes in. Before it goes live we test it with you in Spanish, in English and in the languages your hotel hears most.

What happens to my guests' data?

It's kept only to deal with the enquiry. Conversations are deleted after six months and contact details after two years, or sooner if you ask. Before we start, we explain in writing what is stored and where.

What if I want to stop?

It comes off your website with one line and your hotel stays as it was. You have the terms in writing, including how long the trial lasts, before we start.

Let's talk for half an hour and we'll tell you whether it's for you

Leave your name, your hotel's name and a phone number. We'll call you within two working days to arrange a time.

Only so we can call you about this request. We won't use it for anything else.

If you'd rather we wrote to you.
